    Macildowie are currently recruiting for an Part Time Administration Assistant to support the Senior Management Team which includes Communications, Marketing and Events, Procurement and Donations, support to the Board of Trustees. The main task is to provide comprehensive office administrative, support to the CEO, Senior Management team and the Board of Trustees.

    This is a permanent part time position (30 hours) working Monday to Friday.
    Some evening and weekend work will be required from time to time, including attending Board Meetings. Notice will be given for when this is required

    THE ROLE & YOUR RESPONSIBILITIES:

    Sending / receiving emails on behalf of the Chief Executive
    Supporting the Chief Executive at multi agency meetings, taking and distributing accurate minutes
    Assisting the Chief Executive in preparing tenders and funding applications
    Arranging and facilitating Senior Management and Operational Management team meetings, including the taking and distribution of accurate minutes
    Organising and arranging staff away days and staff events
    Supporting the Chief Executive with the completion of Board reports
    Arranging and facilitating Board meetings, collating papers, taking and distributing minutes
    Assisting with the recruitment of Board Members and Volunteers
    Being the key point of contact for the Board of Trustees, when arranging events and activities, liaising with Board Members as required
    Assisting the Senior Management team with the interview and selection processes of new staff
    Marketing and communications
    Donations


    EXPERIENCE SOUGHT IN THE SUCCESSFUL CANDIDATE:

    Strong administration skills, knowledge of data protection and GDPR, strong communication skills and you must be ITU literate.

    Experience of working in the voluntary sector would be desirable

    Using EPOS software to produce reports for Senior Management.

    Responsible for overview of Supplier's risk assessments.
    Support the Operations Support Manager with adhoc tasks when required.

    Experience within an administrative role an advantage

    Making entries and amendments as appropriate in the Company's computerised record systems, in a prompt, full and accurate manner and in accordance with Company policies and procedures.

    When required, placing orders for materials in a timely and accurate way and in accordance with Company policies and procedures.

    Taking customer credit card payments when necessary and recording the details accurately on the stipulated form.

    Prompt and accurate filing of the office's paperwork.

    Carrying out mail room duties as needed.

    Any other duties determined from time to time by the Operations Manager.


    EXPERIENCE SOUGHT IN THE SUCCESSFUL CANDIDATE:

    In order to be considered it would be an advantage that you have dealt with engineers but it is not essential. You must have strong customer service skills, excellent communication skills, administration skills and have the ability to multi task.

    The Role

    The successful Customer Service Centre Advisor will be responsible for the following duties:

    • Being the first line telephone contact for incoming membership, training and booking enquiries
    • Respond to incoming calls and emails, taking ownership of the enquiry and advising customers on the membership structure, training courses, training products, workbooks and events - recording all enquiries and opportunities on the CRM system
    • Receiving and processing applications for memberships, training provider licensing, course results, certification processing and queries - updating customer records
    • Understand membership and training products to be able to talk to potential and existing customers about them, upselling as part of this process when necessary
    • Process subscription payments and resolve queries/objections where necessary by contacting members using the appropriate media to ensure payments and/or funds are properly processed.
    • Processing event bookings, creating accurate records on the CRM system, collecting resources in a timely manner prior to the event and dealing with any associated queries regarding these
    • Raise invoices, process payments and credit notes as required, dealing with queries as they arise
    • Provide first line technical support to customers who are experiencing issues with systems such as the website
    • Cleanse data where necessary and contact customers by telephone, email and mail to retrieve information as required for the completion and maintenance of their records

    The ideal Candidate will:

    Hold an understanding of what good customer service looks like with experience liaising with customers regarding orders and enquiries via telephone and email. The ideal customer service centre advisor will have excellent accuracy and meticulous attention to detail as well as the ability to work independently and effectively in a virtual environment. This role requires a candidate who can learn quickly and utilise different IT systems so being IT literate with experience of using Microsoft Office packages is vital. Dealing with customers via telephone/email can sometimes be challenging therefore, the ideal customer service centre advisor will demonstrate personal resilience whilst addressing telephone complaints and working under pressure.

    Taking / logging incoming work from customers
    Effectively deal with all customer service enquiries, advising and actioning accordingly, with organised and effective follow ups, taking ownership of the problem from start to finish, and be the first point of contact for customers.
    Create job cards / notifications via SAP and identify / order parts for engineers.
    Plan engineer's daily workload, effectively and efficiently
    Assist with maintaining control of parts within the Service Centre and carryout regular audits / reporting to manage stock control, ensure that engineer's returns are handled promptly / daily.
    Receive and book in deliveries, prepare parcels for dispatch to customers and engineers.
    Prepare and provide estimates to customer and subsequently follow up to ensure whenever possible their conversion
    Follow up service visits with regular follow up calls
    Manage the completion of open TB's, liaising with the Regional Service Manager and arranging engineers accordingly.
    Carry out admin tasks as required for the benefit of the service operation
    Assist with H&S aspects & audits as required
    Plan and efficiently manage machines in the region on contract maintenance, including maintenance of the contract planner
    Manage engineer job sheets for correct and accurate completion and record non-compliance or poor completion.
    Effectively manage warranty returns.
    Carryout and audit regular department KPI's as instructed
    Willingly carry out other duties commensurate with your role.

    EXPERIENCE SOUGHT IN THE SUCCESSFUL CANDIDATE:

    It would be an advantage if you have experience of dealing with engineers, planning, administration and strong customer service experience.

    You must be computer literate and confident on the telephone.
