Job Description

THE OPPORTUNITY:

Macildowie are currently looking for a strong Administrator working for a charity based on the outskirts of Coventry. The role will report to the Director of Finance and Operations and will be a key part of the Operations and Finance Team. The Operations and Finance Team is an integral part of supporting delivery of the charitable objectives and covers everything from coordinating the administration of the organisations conservation projects and funds to building supportive relationships with members and the general public.

This is a full time position which offers hybrid working.

THE ROLE & YOUR RESPONSIBILITIES:

Managing correspondence, together with phone calls, emails, letters and packages

Coordinating internal and external meetings and appointments, including where applicable overseeing catering

Maintaining calendars, schedules and reservations

Coordinating staff travel arrangements including transportation and accommodation, as well as creating and distributing travel itineraries

Performing data entry, including but not limited to maintaining and updating membership records, information and data gathering for mass correspondence exercises

Organising and maintaining files and databases

Managing the inventory of office supplies, including stationery and multimedia equipment

Welcoming members and visitors

Assisting in document and presentation preparation including Word, PowerPoint and Excel

Assisting in the administration of marketing and social media tasks

Assisting senior management with correspondence and enquiry responses

Any other administrative duties that the organisation requires

EXPERIENCE SOUGHT IN THE SUCCESSFUL CANDIDATE:

Administrative experience in any field but preference to candidates with experience in membership organisation or third sector

Excellent communication and interpersonal skills (both written and oral)

Ability to build relationships over the phone and offer a first point of contact that is friendly supportive

Strong organisational and time management skills

Excellent attention to detail

Excellent knowledge of the Microsoft Office suit including Word, Excel and PowerPoint

Able to manage and priorities multiple tasks

Behaves professionally at all times and understands how to handle confidential information

Enthusiastic problem solving and a willingness to work in a fast-paced environment
