Business Support Officer
Job Description
My client a top employer in Nottingham is looking to recruit a temporary business support officer at their offices in Arnold.
Duties of the role will include:
- To be the first point of contact for all incoming enquires including answering the telephones, proactively managing the joint inbox and log and record enquiries onto the system ensuring an accurate audit trail.
- Assess and triage all enquiries to identify the most appropriate customer service pathway.
- Ensure all GDPR and confidentiality measures are appropriate and effective, including handling complex confidential and sensitive matters which require co-ordination of responses both internally and/or partner organisations in accordance with policy and procedure.
- To provide support on general HR processes as required, for example new starter processes, induction preparation, and liaising with appropriate departments to ensure equipment availability and system access.
- To provide support in taking accurate minutes of various stakeholder meetings as and when required, distribute in a timely manner, and follow up on meeting actions tracking actions as appropriate, to ensure deadlines are achieved.
- To be responsible for a variety of financial processes including handling petty cash requests, raising purchase orders, and ensuring payment. Completion of the Commissioner's monthly expenses including publication on the website, completition of the company credit card statement log ensuring transactions are covered by receipts.
- To provide administrative support to the Executive Assistants to include but not limited to photocopying, collating reports, distribution of mail and preparation of meeting packs etc. In addition to organising, developing and maintaining efficient and confidential filing systems and other computerised systems.
- Support the Senior Leadership Team with administration support requests.
- To manage the Gifts and Hospitality Register.
- To be responsible for the administration elements of a number of different company schemes.
- To be responsible for the publication of documents onto the website.
- Work as part of a team to collectively manage the reception between the hours of 9.00 - 5.00 Monday to Thursday and 9.00 - 4.30 Friday.
This is a temporary ongoing role working 37 hours per week and the role is office based.
