    THE OPPORTUNITY:

    Macildowie are currently looking for a Key Account Manager to work for a quirky business based in Leicester City centre. As a client facing Account Manager you will be accountable for planning and managing small sized projects directly with the client, whilst assisting Account Managers on larger projects.

    This is a full time permanent position.

    THE ROLE & YOUR RESPONSIBILITIES:

    Preparing, managing and owning all project timelines

    Costing and management of project budgets

    Project resource management internally and externally

    Identifying risks to CPA, Budgets and Quality

    Being responsible for all aspects of a project from prototype to production

    Owning all project documentation

    Negotiating with internal factory, suppliers, and sub-contractors

    Ensuring highest quality standards in communication, information and production

    Managing all day-to-day operational aspects of projects

    Set the standards and methodology to be used in a project

    Ensuring that all relevant processes are followed on projects

    Proposing process or production improvements

    Communicating accurately with BU team members, clients and factories

    Managing complex bills of material and communication of these to multiple stakeholders to ensure project success

    THE ROLE & YOUR RESPONSIBILITIES:

    Meet and greet visitors attending the premises.
    Answer phone calls and direct enquiries as required and assist with resolutions for general enquiries into the business.
    Support and assist the Managing Director and General Manager as and when necessary in daily activities.
    Monitor and review annual contracts with our suppliers. Research and negotiate new contracts with new suppliers.
    Compile periodic statistics and sales figures for management.
    Provide support for all departments as and when required.
    Organise company meetings and events.
    Coordinate travel, accommodation and meeting arrangements.
    Purchase all authorised items required for the business.
    Maintain sufficient supplies for the office and kitchen.
    Organise maintenance repairs as required and liaise with contractors to ensure work is completed.
    Co-ordinate and organise catering for internal on-site meetings such as Area Sales Manager Meetings.
    Follow-up with managers to ensure actions from management meetings are carried out on time.
    Carry out a range of Health and Safety related administrative tasks such as briefing visitors and new employees on procedures.
    Liaise with HR to ensure employee files and attendance records are up to date.
    Update employee records holidays and sickness absence logs.
    Liaise with managers to obtain employee holiday approval.
    Update and verify employee time management information.
    Co-ordinate with employees and managers regarding flexi-bank work.
    Manage the administration for company vehicles including sourcing new vehicles, monitoring mileage, resolving issues and answering questions.

    Reporting to the Office Manager, the key purpose of this role will be to provide support for all back-office functions during a busy period where new operational and finance systems are being implemented, and to assist in the smooth running of the office. The post-holder will be experienced in bookkeeping and general administration duties.

    This is a full time permanent post which will offer a hybrid model after 6 month probation. The role comes with a host of lucrative benefits including a company bonus.

    THE ROLE & YOUR RESPONSIBILITIES:

    Maintain cloud-based project management systems including set up projects, time allocation, time sheet validation, time and budget tracking, monthly reporting

    Maintain invoicing schedule, raise customer invoices and purchase orders, chase customer payments

    Process sub-contractor and staff expenses

    Work with managers to develop and update operational procedures and drive process efficiency

    Ensure departmental procedures are in place and adhered to

    Support Office Manager and the Finance transition team with preparation and cleansing of data for the new systems.

    Purchase ledger duties including checking and matching purchase orders, and invoices, obtaining bank details from suppliers, reconciling supplier statements producing payment runs for approval and dealing with any purchase ledger queries from suppliers and staff.

    Undertake credit control activity, including raising and issuing invoices, processing cash receipts and issuing statements.

    Assist with organising people, meetings and company events

    EXPERIENCE SOUGHT IN THE SUCCESSFUL CANDIDATE:

    Proven administration experience
    Proven understanding of the demands related to working in a busy small finance and operational support team.
    Proficient in MS Office suite and Google Workspace in particular Excel and Word
    Knowledge and experience of Purchase & Sales Ledger
    It would also be an advantage if you have Xero Accounting Software knowledge but this is not essential
